1. Scope & Overview
Clanexa ("we," "our," or "us") provides an AI-powered family companion designed to help parents and guardians stay organized by compiling school circulars, timetables, homework, and reminders into a clear daily brief.
This Privacy Policy explains how information is collected, used, processed, and handled when parents use our web and mobile applications.
2. Information We Collect
We collect information necessary to deliver, maintain, and improve our services:
- Account & Contact Information: Name, email address, child's grade or class designation, and communication preferences provided during registration.
- Uploaded School Communications: Circulars, PDFs, image snapshots, homework sheets, PTM notices, timetables, and related documents manually submitted by the user.
- Information Concerning Children: Details about school events or academic schedules provided directly by parents or extracted from uploaded documents. Clanexa is intended to be used by parents and legal guardians. Parents or legal guardians may choose to upload school communications that contain information relating to their child.
- Technical & Usage Data: Standard access logs, browser type, device identifiers, and basic usage analytics used for operational monitoring, website measurement, and system stability.
3. How Information Is Used
We process personal and uploaded information for specific operational purposes:
- To generate daily briefs, prioritize upcoming school deadlines, and organize schedules for your account.
- To issue helpful reminders and notifications regarding school events and tasks.
- To provide customer support, troubleshoot technical issues, and respond to user inquiries.
- To maintain service security, prevent fraud or misuse, and improve system reliability.
- To comply with applicable legal obligations and administrative requirements.
We do not sell your personal information or your child’s school documents to third parties or advertising networks.
4. AI & Infrastructure Providers
To convert complex school circulars into simple daily briefs, uploaded documents are processed using Clanexa’s backend systems, private storage, and carefully selected cloud infrastructure and automated artificial intelligence providers.
Clanexa currently uses Google Cloud services, including Vertex AI, to support document understanding. AI processing is routed through Clanexa-controlled server-side systems rather than exposing AI provider access directly in the mobile app.
We also use privacy-conscious monitoring and error reporting to maintain service reliability. These operational tools are configured to reduce unnecessary exposure of sensitive information such as school document content, prompts, authentication tokens, and family details.
Third-party infrastructure and AI service providers process information only as needed to help operate Clanexa. Their processing is governed by their applicable service terms, privacy commitments, and data protection practices.
5. Data Retention & Security
We retain user information only for as long as reasonably required to deliver our services, fulfill account administration, troubleshoot issues, resolve disputes, or comply with legal obligations.
We implement administrative, technical, and physical security measures designed to protect information against unauthorized access, loss, or alteration. However, no internet-based service can guarantee complete security, and users should exercise care when transmitting sensitive documents.
6. Children's Privacy
Clanexa is designed and intended for use by adult parents and legal guardians. We do not knowingly allow children under the age of 18 to directly register accounts or submit personal data without parental consent and supervision.
8. Payments
Direct website payments for Clanexa Plus are processed by Razorpay. Razorpay may process payment and transaction information necessary to complete and manage the transaction.
Clanexa does not need to receive or store full card details or UPI credentials handled by Razorpay. Razorpay processes relevant information under its own privacy practices and policies.
9. Your Rights & Grievance Contact
Parents can contact Clanexa to request access to, correction of, or deletion of their information, subject to applicable requirements and available product processes.
You can delete your Clanexa account using the in-app account deletion functionality. Deleting your Clanexa account is separate from cancelling a paid subscription; subscription cancellation is handled through the applicable purchase platform or process described in our Refund & Cancellation Policy.
